Summary

We are looking to hire an experienced individual to fill this position. The job holder will provide personalized secretarial and administrative support in a well-organized and timely manner, and will work on a one-to-one basis on a variety of tasks related to a Managing Director's working life and communication.

Description

  • Support the MD to manage his work schedule and activities
  • Lead and manage short term projects, initiatives, etc
  • Assist the MD to set up and manage young businesses
  • Organize and attend meetings and ensure the MD is well prepared for meetings; document meeting minutes where appropriate
  • Manage and keep all financial records and carry out personal administration for the Director as required
  • Coordinate the MD’s communications including taking calls, responding to emails, and interfacing with clients
  • Manage Social media spaces towards achieving definite goals
  • Conserve the MD’s time and promote the corporate image by representing the Managing Director internally and externally, providing liaison between the Managing Director, key executives, employees, and external stakeholders.
  • Carrying out research and collecting data to prepare documents for reviews and presentations
  • Monitor projects and teams etc as assigned towards the accomplishing of definite goals
  • Organize all aspects of the Managing Director’s work including appointments in addition to managing dates, producing agendas, and all key paperwork for meetings
  • Arrange travels, visas, and accommodation 
  • Manage corporate events
  • Prepare reports, memos, letters, and other documents
  • Provide general administrative support for the effective running of the office of the MD
  • Run essential errands/ chores for the MD
  • Manage and supervise direct Auxiliary staff to the MD towards productivity.

Qualification

  • Bachelor’s Degree in Social Sciences or any other related field
  • Personal Assistant diploma or certification is a plus
  • 3 - 5 years experience in a similar role
  • The age range for this position is between 28 and 32
  • The ability to drive will be a plus with a valid driving license
  • Proficiency in MS Office 
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g. e calendars and copy machines) 
  • Excellent verbal and written communications skills. Discretion and confidentiality
  • Must be very sharp and articulate
  • Must have Analytical skills, writing skills, Excellent in carrying out  Research and research findings, excellent in report writing and interpretation of reports, must have a good command of English,  must be experienced in data analytics
  • Must be self-driven and must be result-oriented, should have Project management skills, organizational skills, finance skills
  • Proficient in the use of Excel, Microsoft Word, PowerPoint
  • Must be internet savvy, tech-savvy, and social media savvy
  • Must be Innovative and adventurous
  • Must be outgoing
