We are recruiting to fill the position below:

Job Title: Programs Officer, Internship & Volunteer Management

Location: Lagos

About the Job

  • To provide effective coordination and management of all interns and volunteers at PF as it relates to their welfare, active engagement, career growth as well as learning and development. S/He shall carry out important administrative duties across PF, track volunteering hours as well as create and manage an effective reward system for high performing volunteers. S/He shall also provide a variety of project management and administrative tasks for all volunteers and interns at PF.
  • Job Description Work seamlessly with Program Officers (POs) and Program Managers (PMs) to achieve the overall objective of PF in line with its Education, Shelter and Health Initiatives. S/He shall be responsible for driving & managing the foundation’s quarterly Induction program, including the successful graduation of volunteers and interns. The role-holder shall also have oversight functions for the effective pairing and monitoring of Mentors & Mentees (for interns) within PF and more. S/He shall be responsible for initiating, planning, organizing and managing PFs bi-monthly Knowledge Sharing Session as well as all email correspondence from the volunteers@pistisfoundation.org emails. Other key deliverables/ result areas shall include the following;

Key Result Areas / Deliverables

  • Internship & Volunteer Management
  • Plan and execute annual calendar for volunteer & intern activities alongside program managers • Create and manage a robust plan as well as a daily activity schedule for new interns across PF.
  • Manage pairing & monitoring of “Mentor & Mentees” exercise
  • Prepare and efficiently manage unit’s annual budget
  • Resolve grievances (if any) and foster teamwork amongst team members
  • Disseminate relevant information or internal memos to volunteers and interns via established communication channels i.e whatsapp groups, microsoft teams, etc. about slated meetings, programs, annual/ monthly events etc.
  • Communicate frequently with, and manage volunteers through their program managers to ensure they are well placed and fully optimised
  • Effectively execute and manage the Volunteer & Internship Program policy

Learning & Development

  • Coordinate the bi-weekly Knowledge Sharing Session (KSS) of PF
  • Organize and manage the successful induction and onboarding process of new volunteers, interns and staff of PF.
  • Recommend relevant reading materials and books for PF workforce
  • Coordinate the “one book a month” program for the workforce with PMs.
  • Organise quarterly trainings for the entire workforce online & offline

Recruit Volunteers & Interns:

  • Effectively work with the HR unit to provide appropriate information on available job openings and competencies required
  • Manage the timely advertisement of volunteer/ job openings with HR, via established communication channels, online and offline.
  • Organise and sit with PMs/ HR to interview prospective volunteers/ staff to ascertain their competence fit for available roles across PF.

Welfare:

  • Curate detailed record of volunteers information including birthdays, wedding anniversaries and special days @PF
  • Remind and work with the digital media team to ensure birthdays of dedicated volunteers and interns are celebrated online, ahead of slated dates
  • Celebrate birthdays of all volunteers and interns on official chat forums
  • Recognise and reward high performing volunteers, staff and interns in line with the established reward system of the foundation

Monitoring & Evaluation:

  • Curate and submit monthly activity report on all volunteer & intern activities
  • Monitor & evaluate volunteer hours using proven tools & apps
  • Work with community officer(s) to execute and evaluate community projects

Qualification

  • BSc / BA in human resources, social sciences or other relevant field is acceptable
  • Proven experience as training manager or human resource officer or similar position with a minimum of 3 years of management experience.
  • Experienced in volunteering locally and/or internationally
  • Globally conscious, emotionally intelligent and a communication specialist
  • Very organised, innovative and pays close attention to detail
  • Takes personal initiative, reliable and constantly follows-through with assigned tasks
  • Working knowledge of databases and MS Office (especially Powerpoint, Excel and Word)
  • Able to communicate effectively and professionally with diverse people • Excellent team player with leadership/ coordination abilities
  • Experienced in recruiting via various channels
  • Results-driven with a willingness to adjust hours to accommodate the needs of the job
  • A pleasant, outgoing personality
